Retail inventory management
Build online availability around reliable stock information from your stores and warehouses.
Reliable availability starts with a source of truth.
Customers need to know what can actually be fulfilled. Staff need to know which system to update when goods arrive, a product sells or a return is inspected. Vehoo starts by defining that responsibility.
The solution can use a practical import, scheduled synchronisation or an API connection. Different stores can have separate availability, and stock reserved for an online order should be distinguished from stock available for a new sale.
A clear operational workflow.
Agree the rules, give each step an owner, and make exceptions visible.
What we establish together.
- Product identifiers, variants, units of measure and stock locations.
- The frequency and reliability of stock updates from your current system.
- Reservation expiry, overselling controls and manual adjustment permissions.
- A reconciliation routine for mismatches and stock counts.
A pet store may hold 12 feed sacks, reserve three for online orders and retain two as a shop-floor buffer. The customer-facing quantity should follow the agreed availability calculation, not simply display the physical count.
This example explains the workflow; it is not a customer case study or a performance claim.
Your questions, answered.
Can Vehoo use a spreadsheet stock list?
A controlled import can be a starting point. The process must define who updates the file, how often it is imported and how stale availability is managed.
Can each branch show different availability?
Location-specific stock can be scoped so an order or collection offer reflects the relevant branch.
What happens when an item is missing?
Staff should raise an exception before dispatch. The agreed workflow covers customer contact, alternatives, partial fulfilment or cancellation.
Are returned items immediately available to sell?
They should become saleable only after the required inspection and stock-status update.
Can stock alerts trigger purchasing?
Reorder thresholds can support replenishment decisions where that capability is included. Supplier lead times and purchasing approval remain important.
Warehouse management
Connect receiving, stock locations, picking, packing and dispatch in a defined fulfilment workflow.
02Purchasing & replenishment
Plan supplier orders and goods receiving around stock needs, lead times and purchasing responsibility.
03Retail software integrations
Connect existing POS, stock, payment and fulfilment systems where practical.
Sell what you can fulfil.
Live inventory integration connects your e-commerce store with the stock held in your shop and warehouse. Receiving a delivery, selling at the till, reserving an online order and accepting a return should all update the same stock picture. Your stock remains your asset throughout.
The inventory software is included at zero cost. We map products and locations, distinguish available stock from reserved or damaged goods, and test the connection before launch. Where an older system updates periodically, the storefront needs a sensible buffer and a clear response when its data becomes stale.
Your systems can be part of the plan.
Explore platform-specific connection routes, supported data and the checks we make before launch. If your system is not listed, we can assess its API, connector or export options.
